Description

Reserving a hoteling space is a quick and easy process that can be done via self-service.  This document includes numerous screenshots that will guide you through the process.

Step-by-step guide:

1. To begin the process, you’ll need to visit https://hsph.me/bookit

Once you are on the landing page, you will see in the upper right-hand corner a link that says “Welcome, Guest.”  Clicking on that will bring up a box with a “Sign In” prompt.

Click on the Sign In prompt and enter your hsph email address and your BookIT password which is your 8-digit Harvard ID number.

  • at this time, the system does not use your HarvardKey for login, but that is planned



2. After your successful login, you will click on the “Create a reservation” link found in the column on the left.





3. Most users will see only 1 template in the My Reservation Templates screen. Click on “book now” for the Hotel Space template. 


This will bring up the date and time options screen shown below:




4. It is here that you will select the day/date, start time, and end time for your reservation.  It’s important to note that reservations can only be made one at a time, and you cannot book multiple days in the same reservation.  This is by design in the system.

After you select the date from the calendar, and have your start and end times selected, you can click on “Search” and you will see a list of available spaces for that time window.

From here you can click on a space name to get information about the space, including a floor plan indicating where the space is located, and photos of the office or workstation area.

Once you’ve determined the space you want, simply click on the blue “Plus sign” to the left of the room name. 


You will see the following pop-up window which already defaults to 1 attendee and Hotel Space for the “setup type” so all you need to do here is click “Add Room”


You will then see that the space you chose is listed under “Selected Rooms.”  In the example below room “211 WS-13” was selected.

Now you can simply click the blue “Next Step” button on the right-hand side of the screen.


After you’ve done that the “Reservation Details” screen will appear as shown below.

2 steps are required on this screen:

  1. Type in a short phrase such as “[your name] onsite”
  2. Scroll to the bottom of the page and check off the box for terms and conditions
  3. Click on the green “Create Reservation” button on the right-hand side


Congratulations, you’re all done!  You will see the Reservation Created screen shown below.

The add to my calendar option is not necessary, and it requires making adjustments in Outlook therefore we recommend against it.
